What is our data handling status

We act as joint data controller with our recruitment partners 4Leisure Recruitment Ltd.

Why do we collect your data?

We collect your data for our recruitment and employment processes.

What type of data we will hold?

We collect personal information from which you can be identified. This information is defined as “personal data” under the Data Protection Legislation. We obtain personal data from you with your
consent when you contact us about our services. We also collect your personal data when you respond and give consent to our marketing partners or through our advertising campaigns. This
data includes your personal contact information including name, address, phone number and email address, business address and employer.

We also collect information relating to previous employment, qualifications and experience in our recruitment process.

Who has access to your data and who do we share it with?

Educated Body, our appointed contractors, and where required in the interview and recruitment process the client or estate management team responsible for the site.

If any third parties have access to your data, who are they and what is their data handling policy?

We will not give your personal information to a third party outside Educated Body without your express consent or unless required to do so by law or a court order.

How long will we retain your data?

Educated Body will retain your data for the period of the recruitment process and for the duration of your employment with them.

Once you reach the end of your recruitment process they will retain your data for a further period of 7 years for the purpose of talent pooling. They may contact you on occasion should they feel that your CV matches a job vacancy. During this period, they will not share your data with any third parties or contact you for any reason other than prospective jobs.

They review the retention of data annually and you can remove your details at any time by contacting them on privacy@educatedbody.com

4Leisure Recruitment will not retain your data after the recruitment process concludes unless you subscribe to be alerted about opportunities, nor will they use your data for any other purpose than for recruiting for Educated Body.

How can I find out what data we hold?

The Data Protection Legislation gives you the right to access information held about you. Your right of access can be exercised in accordance with the Data Protection Legislation.

If you wish to make a subject access request please mark all correspondence “for the attention of the data controller” and send via email to privacy@educatedbody.com.

Alternatively make your request in writing via post to the registered address at the top of this privacy policy.

To ensure data security we may ask you to provide identity documents such as a passport, utility bill, driving licence to confirm you are the person entitled to make the request for data. Once we have
established your identity we will destroy all copies of the documents provided.

You can also request that:

– we correct information which is incorrect or incomplete and ask for a copy of your data which will be provided in a machine-readable format such as .xls or .csv

– we delete data which is no longer relevant subject to our reasonable processing requirements outlined in our data retention policies and regardless of our legitimate interests.

– we stop processing your data whilst we retain the data for the periods we have described in our retention policy.

– we erase your personal information completely from systems that are under the RCH’s full power and control.

In addition to these rights, you also have the right:

– not to be subject to any decisions made by Educated Body that are based on any profiling or automated decision making if they produce legal effects or significant effect you
